Keeping your CRM up to date shouldn’t be a manual chore. Pipedrive allows you to automatically log calls and emails, saving you time and ensuring your communication history is always complete.
This guide covers how to set up automatic logging for emails and calls, and where to find that information once it’s logged.

๐ง Automatically Logging Emails
Step 1: Connect Your Email Account
- Go to Mail > Click Connect your email.
- Choose your provider (Gmail, Outlook, or IMAP).
- Log in and authorize the sync.

Step 2: Choose Sync Settings
- After connecting, select your email visibility and sync preferences:
- Two-way sync: Sync both sent and received emails.
- One-way sync: Only received or only sent emails.
- Choose which emails to log:
- All emails
- Only emails linked to existing contacts
- Set default visibility (Private, Shared, etc.)
- Click Save changes.
Step 3: Logging Behavior
Once synced:
- All incoming/outgoing emails related to a contact in Pipedrive are automatically logged in the relevant Deal, Person, or Organization.
- Emails are visible in the Mail tab and on the timeline of each record.
๐ Automatically Logging Calls
Pipedrive doesnโt automatically track phone calls by default โ but you can log calls manually with one click or use the Caller feature and 3rd-party integrations to automate this.
Option 1: Use Pipedrive Caller (Professional Plan+)
- Go to Tools and apps > Caller.
- Enable Caller and verify your phone number.
- Youโll now see a Call button on contacts and deals.
After each call:
- Youโll be prompted to log the call automatically, add notes, and schedule a follow-up.
๐ง Calls made using Caller are automatically logged with call time, outcome, and optional notes.
Option 2: Use Third-Party Integrations
To log calls made outside of Pipedrive, integrate with:
- JustCall
- Aircall
- Twilio
- CloudTalk
These tools:
- Sync call activity directly to Pipedrive
- Log call metadata (duration, recordings, timestamps)
- Often support click-to-call
๐ Where to View Logged Activity
In the Deal/Person View
- Open any deal, person, or organization.
- Scroll to the activity timeline.
- Youโll see icons and details for each logged email or call:

- ๐ Call: Duration, direction, outcome, notes
In the Mail Tab
- View all synced emails, filtered by contact or deal.
In the Activities Tab
- Calls are also shown under completed activities, with filters available.
๐ Pro Tip: Link Emails/Calls to Deals Automatically
When a contact is associated with one or more deals, Pipedrive will automatically try to associate communication with the most recent open deal. You can change the deal link manually if needed.

Can I log past emails?
Yes. Once your email is synced, Pipedrive will automatically pull in recent emails from your inbox (up to 6 months).
Can I log calls from my mobile device?
Yes. Use the Pipedrive mobile app to call contacts. The app prompts you to log the call afterward.
What if my calls arenโt being logged?
Check that:
- You’re using the Caller tool or a supported integration
- The phone number is correctly associated with a contact
