OnPay is a cloud-based payroll service that allows managers to create employee records, assign benefits, track time, and run unlimited payrolls each month. It's an Editors’ Choice winner for organizations with up to 100 employees and recommended for those in vertical industries. Gusto and Rippling are Editors’ Choice winners in the payroll category, recommended for the smallest businesses (Gusto) and businesses of more than ten people (Rippling).

It also includes a new iOS app for employees, but not yet for Android. The app provides access to payroll data, such as pay stubs, benefits, and conversations. The mobile browser version offers the same features as the app.

OnPay charges $40 per month plus $6 per employee per month. It's in line with the average pricing for online payroll software for small businesses. You can try it for free for one month. Patriot Software charges $37 per month plus $4 per employee. Square Payroll costs $35 per month plus $5 per employee per month, while Gusto's starting price is the same as OnPay's.

Intuitive UX

The site's navigation links in the toolbar break down the site into links to tools and data. Navigation is driven by icons in the left vertical toolbar, including links to employee and contractor information screens, payroll filings and payments, HR tools and data, and more. The Worker Files link takes you to a comprehensive list of employee documents.

What are the steps to start using Onpay?

Setting up a small business payroll application is labor-intensive and difficult. Accuracy is critical as it affects employees' livelihoods and access to company benefits. OnPay can be easily set up to support the unique needs of companies in various vertical industries. OnPay representatives are available to help if needed. The company offers a full accuracy guarantee and takes responsibility if any historical data is entered incorrectly. OnPay is more flexible than some other online payroll services, allowing you to create multiple pay schedules.

After setup, input employee records by creating them or inviting employees to enter their own information. Compensation and HR details still need to be entered separately.

OnPay's employee records contain all payroll and HR details, including deductions, compensation, time off, and personnel files. The employee profiles are thorough and the Profile page has a new UI enhancement that automatically expands individual sections as you roll over them.

OnPay added custom forms to their employee records feature two years ago. These forms are easy to create and support various types of data fields such as text boxes, drop-down lists, and dates. They can be used to track computer equipment or t-shirt sizes among other things.

Integrating employee benefits into Onpay.

Before running payroll, you need to complete setup tasks like defining accrual policies and payment types. OnPay supports many pay types and custom fields. Deductions and benefits integration are also available, including paperless signup and automatic premium sync to payroll.

Excellent User Experience

Managing payroll can be an exasperating, detail-heavy process, so it's key to have an online application that makes it less of a burden. OnPay provides an excellent user experience that rarely gets in the way of or detracts from its operation. Its effective use of color, fonts, and graphics provides a pleasant, good-looking environment. Some pages require a lot of scrolling, especially if you have dozens of employees. There’s simply so much data to view, and managers want to see as much as possible simultaneously. Creating a usable yet data-filled interface is a challenge every payroll system faces.

OnPay always opens to your main dashboard, and you can return to it from the toolbar. Links to your employee and contractor records appear at the top of the page, along with their pictures. If any alerts or tasks need attention, you see them, too.

Sometimes, you need to consult another page when you’re completing a payroll task. For example, you might want to look at an employee’s profile record when you’re running payroll or view a timesheet breakdown when you’re reviewing the time tracking page in preparation for approvals. OnPay never forces you to backtrack to the related page. It either slides a panel out from the side or drops another front page that can easily be dismissed. Overall, OnPay is a clean, intuitive, and fast-loading site.
